Privacy notice

How EasyBus collects, uses, and protects information about students and their whānau when they register for school transport.

Who holds your information

School Administration Services Limited (trading as EasyBus) is the administrator of your school transport network. EasyBus collects and holds personal information about students and their whānau for the purpose of administering school bus services. EasyBus is a data controller under the Privacy Act 2020.

What we collect

When you register a student for school transport, we collect the following information:

  • About your student: name, date of birth, year level, school, and home address. Where your student's boarding address differs from your home address, we also collect that address.
  • About you as a parent or guardian: name, email address, and phone number.
  • About your student's travel: the route and bus stop your student will use.

We may also hold health or behavioural information relevant to safe transport where you or your school have provided this.

Why we collect it

We collect this information to: assign your student to the correct route and bus stop; communicate with you about your student's transport; assess eligibility for school transport under Ministry of Education criteria; manage the safety and wellbeing of students on our buses; and meet our obligations under the funding agreement with the Ministry of Education.

Who sees your information

Your information is accessible to EasyBus staff involved in administering your network and staff from the school that your student is enrolled at. The bus operator contracted to operate your network's services has access to student boarding lists for the purposes of operating routes safely. Your information is not shared with the Ministry of Education, other government agencies, or any third party for any other purpose without your consent, except where required by law.

Where your information is held

Your information is held securely in cloud-based systems operated by EasyBus, hosted on servers located in Sydney, Australia. All data is encrypted in transit and at rest. Access is restricted by role — only staff with a legitimate need can access your student's information.

How long we keep it

We retain student records for one year after a student's last active travel with the network. After this period records are deleted or anonymised. You may request deletion of your records at any time — see your rights below.

Your rights

Under the Privacy Act 2020 you have the right to: ask what personal information we hold about you or your student; request correction of any information that is inaccurate or out of date; ask us to delete your information, subject to our legal obligations; and make a complaint if you believe your privacy rights have been breached.
